Terms & Cancellation Policy

1. Bookings & Confirmation

All bookings made with Around Cape Town & Beyond Tours (“the Operator”) are subject to the terms below. A booking is only confirmed once the Operator has acknowledged it in writing (email or WhatsApp) and any required deposit has been received.

Quoted prices are in South African Rand (ZAR) and are valid for 14 days from the date of quotation unless otherwise stated. Prices may be adjusted before confirmation in response to changes in fuel, entrance fees or supplier rates.

2. Payment

A non-refundable deposit of 25% of the total tour price is required to secure a booking. The balance is payable no later than 7 days before the tour departure date, or in full at the time of booking if the tour is within 7 days.

Payment may be made by EFT (electronic funds transfer). Bank charges and currency conversion fees are for the client's account.

3. What's Included & What's Not

What is included and what is not included for each tour is set out on the individual tour page. As a general rule, our tour rates cover the vehicle, fuel, the registered tour guide and door-to-door pickups within the Cape Town metro.

Unless explicitly stated otherwise, the following are not included in the tour price and are for the client's account:

  • Entrance fees to attractions, reserves, museums and gardens
  • Meals, lunch stops and refreshments
  • Drinks of any kind
  • Gratuities for guides and drivers (entirely at your discretion)
  • Personal travel, medical or trip-cancellation insurance

4. Cancellation Policy

Cancellations must be made in writing (email or WhatsApp). The following charges apply, calculated against the total tour price:

  • More than 14 days before the tour date: deposit forfeited (25%); balance refundable.
  • 7 to 14 days before the tour date: 50% of the total tour price is payable.
  • 2 to 6 days before the tour date: 75% of the total tour price is payable.
  • Less than 48 hours before the tour date, or no-show on the day: 100% of the total tour price is payable.

We will always do our best to reschedule rather than cancel where circumstances allow. If the Operator is forced to cancel a tour due to weather, safety, vehicle issues or other circumstances beyond our control, you will be offered an alternative date, an alternative tour of equivalent value, or a full refund of monies paid for that tour, at your election.

5. Weather & Route Changes

All tours operate weather permitting. Cape Town weather can change rapidly, and certain stops (including but not limited to Kirstenbosch National Botanical Garden, Boulders Beach, Cape Point and any optional boat-based whale-watching) may be omitted or substituted on the day if conditions are unsafe or visibility is poor. No refund is due for stops omitted on safety grounds; we will always do our best to provide an enjoyable alternative.

6. Liability & Insurance

The Operator carries valid passenger liability insurance as required by South African law. To the extent permitted by law, the Operator's total liability in respect of any tour is limited to the amount paid by the client for that tour.

The Operator is not liable for loss, damage, injury, delay or expense caused by circumstances beyond our reasonable control, including acts of God, weather, road or border closures, third-party supplier failures, or the personal acts of clients or other tour participants. Clients are strongly advised to take out their own comprehensive travel and medical insurance.

7. Client Conduct

Clients are expected to be ready at the agreed pickup time. A 10-minute grace period applies; thereafter the guide may proceed with the tour and no refund will be due. Clients are responsible for their own personal belongings at all times.

No smoking or consumption of alcohol will be permitted on tour vehicles at any time.

The Operator reserves the right to refuse or discontinue service to any client whose behaviour, in the reasonable opinion of the guide, endangers themselves, the guide, other clients or third parties, or is materially disruptive. In such cases no refund will be due.

8. Special Requirements

Please advise us of any mobility or dietary requirements at the time of booking so we can plan the tour accordingly.

9. Privacy

Personal information you provide when booking is used solely for the purpose of fulfilling your booking and contacting you about your tour. We do not sell or share your information with third parties.

10. Governing Law

These terms are governed by the laws of the Republic of South Africa and any dispute shall be subject to the non-exclusive jurisdiction of the South African courts.
